Job Opening: Event Sponsorships Sales Coordinator

IFA is seeking a computer-savvy, high-energy, process-focused candidate to coordinate activities for the Advertising and Sponsorship Department reporting to the Senior Director, Sponsorships & Exhibits. This role requires an individual adept at multitasking in a fast-paced environment, with a keen eye for detail. The coordinator is responsible for supporting the sales and events team, ensuring the smooth functioning of daily operations, and assisting the department in meeting and exceeding revenue goals.

SPECIFIC RESPONSIBILITIES:

  • Establish and maintain a daily working relationship with remote teams and clients.
  • Prioritize tasks effectively, ensuring all deadlines are met, especially during event preparations and sponsorship campaigns.
  • Manage databases and lists, including data entry for Sales Force management, exhibitors, attendees, and sponsor details.
  • Collaborate with event teams to ensure exhibiting and sponsorship objectives are met before, during, and after events.
  • Coordinate and execute event logistics, ensuring all sponsorship deliverables are met.
  • Help manage event logistics for exhibitors and sponsors prior to the event, during setup, tear-down, and during events.
  • Provide support to sales team with invoicing and accounts receivable
  • Ensure sponsors/exhibitors receive appropriate recognition and benefits and maintain an updated list of current and potential sponsors.
  • Prepare post-event reports detailing exhibitor/sponsorship successes and areas of improvement.
  • Execute sponsorship and exhibitor marketing requests, collaborate with the marketing team on the production timeline, submit content drafts, and review/edit proofs for all conferences/meetings flyers, brochures, and final programs.
  • Support the marketing strategy by reviewing and suggesting content for flyers, e-blasts, IFA magazine and Insider messages to ensure sponsorship and exhibits sales goals are met.
  • Build and maintain the Events Section of the website with sponsorship and exhibits details.

QUALIFICATIONS:

  • 3 to 5 years relevant work experience, including sales support experience
  • Must be in the DC Metro area to travel into the office 3 days a week
  • Strong verbal and written communication skills are crucial. This includes the ability to      communicate effectively with team members and clients
  • Ability to interact positively with customers and address their needs, which is especially important if the role involves direct customer contact.
  • Salesforce experience a plus
  • Must be an organized, self-starter with the ability to manage projects, communicate. This is key in this role, as it often involves juggling multiple tasks and priorities
  • Familiarity with web analytics programs such as Google Analytics.
  • Advanced skills in Microsoft Office (Excel, Word, Outlook and PowerPoint)
  • Highly organized with the ability to plan effectively, handle multiple, shifting priorities under tight deadlines, collaborate with multiple stakeholders and meet deadlines in a fast-paced environment
